Curate all of your Faculty CV data in one place

Elements allows faculty members to curate all of the information needed to populate Faculty CVs, including biographical information as well their outputs and activities, such as:

  • Publications and other scholarly or creative works
  • Grants, fellowships, and contracts
  • Professional and service activities
  • Teaching activities, courses and supervisions

We are committed to data reuse, and our API and specialist importer tools make it easy for you to import data already collected in other institutional systems, saving faculty both time and effort.

Securely manage faculty submissions and reviews

Our Assessment Module provides you with a secure place to manage and store both faculty submissions and reviews. The  module can be configured for a wide range of reporting activities including both annual faculty review processes and accreditation reports. It can support both very simple submissions or more complex multi-stage review processes and offers numerous settings to allow you to tailor each assessment to align with each faculty group’s needs. It also offers a versatile permissions module which allows you to configure which faculty members, reviewers and managers have access to data collected at each stage throughout your review processes. Elements removes the need to email large filesets to internal reviews by automatically notifying designated reviewers as soon as submissions are ready for their review.

Our Assessment Manager dashboards make it easy for administrators to monitor faculty progress throughout the review process, and provides a suite of tools for managing submissions such as moving submissions between stages,  locking or unlocking submissions or bulk importing selections and reviews. At the click of a button you can easily generate and download formatted reports, either using one of our standard reports or your own customised reporting templates.

Minimise the burden on faculty members

By maximising data reuse, Elements will minimise the time that faculty members spend completing annual reviews, allowing them to select data already included in the system. Supplementary information can be added directly into the Assessment Module or uploaded as attachments. Where Elements already knows key information about the individual such as their rank or position, it will not ask the faculty member to supply this information, instead these important data points will be added automatically to every submission.

Faculty members can start completing their annual activity review submissions and, should they choose, take a break and return to complete them at a later time. Each time they log into the system will provide helpful reminders, prompting them to complete outstanding tasks. Once they’ve finished their submission, they can export a copy of their submission for their own records and (depending on how the activity review has been configured) monitor incoming reviews from department heads.

Reporting made easy

To put you in complete control of your reporting, Elements provides each of our clients with a specialist SQL-based Reporting Database which is continuously updated from the Elements operational database. This supports direct SQL querying but also allows you to analyse your Elements data using the business intelligence tool of your choice.

We also offer integrated SSRS reporting, empowering our clients to create their own custom reports which can be generated directly within the Elements UI. You can use our standard templates, write your own, or have our team of experts create custom templates for you. Our reporting functionality supports a wide range of data types and formatting options including data extracts, spreadsheets, CVs, group activity reports or formatted lists of outputs and activities. You can even add visualisations such as charts, graphs, co-authorship or collaboration diagrams and even maps.

The automatic search features are a bonus. I really like the way the new entries arrive automatically, and all I have to do is respond to the prompt to approve them. Navigation in the new release is intuitive and friendly. Linking directly to DOIs and full text is convenient and makes it easy to access and share my own research.

Tim Cain, The Ohio Innovation Exchange (OIEx)

The University measures the individual research activity of academic staff. This Measure of Research Activity (MoRA) requires the collection of publication data from faculty. Symplectic Elements supports this beautifully.

Floris van der Leest, Victoria University, Melbourne, Australia

[Elements] will help to bring transparency to the richness of thought showcased within non-traditional publications, providing a more holistic representation of faculties’ scholarly work.

Feedback to date has been extremely positive from all levels across the University, with individual academics and colleagues actively promoting the ease of use of the system.
